The Thornbury Fields Residents Committee ("the RC", "we", "us") operates this website to provide information and services to residents of the Thornbury Fields housing estate. Our contact email is secretary@thornburyfields.co.uk.
What Data We Collect
We may collect the following personal data:
- Name and email address when you contact us or subscribe to updates
- Postal address and postcode when you submit a complaint, subscribe to updates, or take part in voting/nominations
- Contact messages and complaint details you choose to share with us
- Voting and nomination information during election periods (including your household address/postcode to enforce one vote per household)
How We Use Your Data
- To respond to your enquiries and complaints
- To administer committee elections and voting
- To send community updates if you have opted in to our mailing list
- To liaise with FirstPort on your behalf regarding complaints
Legal Basis
We process your data based on your consent (e.g. subscribing to updates) and our legitimate interest in operating the residents committee for the benefit of the community.
Data Storage & Security
We store data using Supabase (database and file storage). Data is encrypted in transit and at rest by the provider. Access to personal data is restricted to authorised committee administrators.
What We Store in Supabase
Depending on what you do on the site, we store:
- Contact messages: name, email address, message content, and date/time submitted.
- Complaints: name, email address, postal address, FirstPort reference, and the complaint information you provide.
- Mailing list: name (optional), email address, postal address/postcode (for validation), and unsubscribe status.
- Voting: voting period, household address line 1 + postcode, and the committee member(s) selected.
- Nominations: nominee name/email and nominator household address line 1 + postcode (and optional reason).
- Address validation list: a list of Thornbury Fields addresses and postcodes used to validate subscriptions and voting.
- Public content: committee member profiles and photos, public documents, and gallery uploads.
Unsubscribing from Email Updates
You can unsubscribe at any time using our unsubscribe form on the Contact page, or by emailing secretary@thornburyfields.co.uk.
Your Rights
Under UK GDPR, you have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data
- Withdraw consent at any time (e.g. unsubscribe from emails)
- Lodge a complaint with the Information Commissioner's Office (ICO)
